Position Overview
Fusion HCR is seeking a Title Coordinator to maintain a database and repository of real property title documents, manage oil and gas leases, complete property disclosures for dispositions, and ensure clear title for a large property management organization’s portfolio. This role requires a naturally curious, detail-oriented individual who can research property history, identify disclosure issues, and know when to escalate — often described as needing a “detective mentality.” This is a long-term opportunity best suited to someone seeking stability rather than rapid career progression.
Key Responsibilities
Title Documentation & Database Management

Maintain the CRM database and repository of title documents, including deeds and title policies, for the entire portfolio

Assist with preparing and recording transfer deeds and resolving deed issues
Escrow & Disclosures

Review and complete property disclosures for escrow transactions, researching maintenance records and property history to identify everything that legally needs to be disclosed

Notarize real estate documents as needed
Oil & Gas Lease Administration

Review and analyze oil and gas leases, process division orders, and track royalties

Provide payment documentation to other departments as needed
Administrative Support

Process incoming mail

Follow all organizational systems, programs, training, policies, and procedures as required, complying with relevant legal mandates
Required Qualifications

High school diploma or GED equivalent required

Active CA Commissioned Notary Public (or ability to obtain commission promptly)

Strong Microsoft Excel skills, including PivotTables, HLOOKUP/VLOOKUP, and experience managing large datasets

Proficiency in Microsoft Office Suite

Strong planning, organizational, and multitasking skills

Takes initiative and works well under minimal direction

Naturally curious with strong investigative and problem-solving instincts

Detail-oriented with the ability to identify errors, inconsistencies, or issues requiring escalation

Excellent communication skills, both written and verbal

Ability to work fully onsite, five days per week (no remote/hybrid flexibility)
