A residential real estate organization is seeking an Administrative Assistant to support daily office operations and property management activities. This role provides administrative and customer service support, including answering calls, greeting visitors, responding to routine inquiries, routing mail, processing payments, and maintaining office supplies.

The Administrative Assistant will work with residents, tenants, visitors, and internal teams. Responsibilities also include coordinating tenant transactions, maintaining records, preparing reports, and assisting with tenant access processes. The successful candidate will bring strong organizational experience, excellent customer service skills, and the ability to work independently with minimal oversight while contributing to a professional and efficient office environment.

Position Overview

Fusion HCR is seeking an experienced Administrative Assistant to support day-to-day departmental operations and the property management team. As a first point of contact for callers, visitors, residents, tenants, and internal customers, this individual will respond to routine requests and direct more complex inquiries to the appropriate staff member or manager.

The role coordinates tenant transactions and related fund information, supports tenant access procedures, processes payments, and maintains accurate administrative records. Additional duties include managing incoming and outgoing mail, completing data entry, filing and archiving documents, preparing management reports, and monitoring office supplies. Success requires a service-oriented and organized professional who communicates effectively, applies policies and procedures, and can manage responsibilities with minimal oversight.

Key Responsibilities

  • Greet guests, visitors, and callers professionally; respond to routine information requests and route more complex inquiries to the appropriate staff member or manager.

  • Coordinate tenant transactions related to move-ins, move-outs, initial rent, deposits, and outstanding funds.

  • Maintain, audit, and report tenant fund management information accurately.

  • Assist the property management team with administrative activities and support tenant access processes as directed.

  • Review and route incoming mail, prepare outgoing mail, and process payments.

  • Complete data entry and maintain paper and electronic records in applicable database systems.

  • Review, prepare, and deliver routine and ad hoc reports for management.

  • Monitor office supply levels and place orders as needed.

  • Follow organizational policies and procedures and handle assigned responsibilities professionally.

Required Qualifications

  • High school diploma or GED.

  • At least two years of experience in an administrative support role preferred.

  • Experience in leasing, real estate, property management, or a related industry preferred.

  • Intermediate knowledge of Microsoft Office.

  • Strong verbal and written communication skills; presentation skills are also required.

  • Excellent customer service, quality, and results orientation.

  • Ability to interact effectively with people at all organizational levels.

  • Ability to contribute effectively as a member of project teams.

  • Strong organizational skills and the ability to manage responsibilities with minimal oversight.
